Inside My Computer

U Drive, it’s on the Server and contains all your documents and is the location that opens when you view My Documents, My Pictures and My Music. Only you can see this location and it is backed up.

X or S drive, it’s on the Server and it’s the place that everyone can see and open and save files and folders to. This is your shared drive for the company.

TIP! Right click on these two drives and choose Create Shortcut to put a shortcut on your desktop!

Remote workers

From outside your workplace, your staff can work remotely using one of the following methods:

1.      Web Connect (Outlook Web Access)

From any computer worldwide, open Internet Explorer 5 or better and navigate to http://yourwebconnectaddress. yourwebconnectaddress will be given to you on completion of your installation.

This will show you all your recent history in Microsoft Outlook, including your recent inbox items, all your folder items and your personal calendar and contacts.

We do not support Web Connect in other browsers than Internet Explorer although you may find it works ok.

2.      VPN Access

Your server is equipped with a PPT VPN Service, allowing any mobile computer to connect to your office network remotely. This allows you full real Outlook access rather than the Web Connect solution and access to all the server based documents (i.e. those on the Shared Drive in My Computer).

How fast is it working remotely?

When working remotely the speed at which you can open a document from the server is determined by a) the download speed of your broadband connection and b) the upload speed of the broadband connection your server is on. In this case you will not receive the document faster than a) you can download and b) the server can upload (or send). When saving a document back onto the server exactly the opposite of this rule applies.

Most broadband upload speeds are rather slow for standard ADSL services at less than 1MB per second whilst download speeds are reasonable from 6 to 8 upwards.

BE* Internet (http://www.bethere.co.uk) are offering some very fast connection speeds with their Pro service that we fully recommend for your Server to be connected to for the best remote office experience. WE DO NOT RECOMMEND SKY OR AOL FOR BUSINESS USE AS THEIR SERVICES ARE RESTRICTED.

Why does my system freeze opening documents?

Your system hasn’t frozen, often programs will appear to be not responding whilst opening or saving a document. The program in question is still sending or receiving the document from your server.

Backup

As of January 2008 we now supply Q-Backup as a free Server solution but recommend that you opt for a more up to date professional backup package. Backup can be made to any low cost USB device and two should be kept on rotation. Alternatively online backup for very small organisations with less than 5GB data is highly recommended.

Spam

Your server is equipped with the industries most advanced and robust anti spam system, an open source spam assassin called ASSP. The server will begin to place spam it recognises in a separate mailbox within Outlook called spam.

This mailbox is viewable within Outlook by scrolling down the folders list at the left hand side of the screen.

To access the spam mailbox via the Web Connect our Outlook Web Access URL use the username spam and password is shown on your ServerCard.

Training the assassin:

Spam Assassin needs to learn who is a friend and who is foe. Mails that come into your usual inbox that should be identified as SPAM you forward to spam@qitspam.com. You will receive an acknowledgement of the server’s mistake and it will not happen again.

Similarly emails from friends that end up in the SPAM mailbox can be forwarded to notspam@qitspam.com. The server will acknowledge the mistake and will cease to treat this sender as spam.

Very soon you will have a robust anti spam solution that is spot on.

Technical details

Your router is set to 12.75.75.2 and can be managed via the following web link http://12.75.75.2. Usually the username is Admin or admin and if we set your router up the password will be shown on your ServerCard

Your server is running an Ubuntu Linux core with a Static IP address of 12.75.75.5. You can use the VNC viewer to gain access to the Ubuntu system.

VMWare virtualisation is installed onto the Linux system and your Windows Server runs as a virtual machine. The Windows Server has a static IP address of 12.75.75.1

DHCP is handled by your Router, and the router gives out the following DNS addresses to clients:

Primary DNS                           12.75.75.1

The domain name is smallbusiness.local and the server name is server.

Genuine Advantage

Qual-IT use only genuine software. The certificates of Authenticity for your Server software are on the side of the Server case, Windows licenses should be on the individual machines as stickers or handed to you if upgrades by the Engineer who installed the system for you.

Security and updates

Your server DOES NOT keep itself up to date with the latest security updates as doing so would require it to restart itself after each update and this is obviously not acceptible so they are performed manually. In addition to this other security flaws may be exposed over time that require patches or fixes, including updates for fucntionality of the system and expansion of your business. You should consider a quartery (or at least six monthly) checkup that can be booked with our sales team on 0845 867 3851.

Aftercare

With every installation of this scale, there will be teething problems. Qual-IT fully understand this and offer 7 days of remote support for minor installation issues. Client computer issues and other software that you require or specific configuration is chargeable at our normal rate published at www.qualit-uk.com/pricing.
